Whether you are a practitioner or an organization manager, if you decide to leave or close your organizational workspace on Psylio to continue in private practice, it is important to carefully plan the transfer of client records and financial information.
This ensures continuity of services while maintaining data ownership and confidentiality.
Before you begin
Two scenarios are possible:
- A practitioner leaves a clinic to continue individually
- Our team will transfer the records from your organizational workspace to your individual workspace.
- If your account contains records that belong to your clinic or organization, these must first be moved to another account within the organization (for example, a colleague’s account or an archive account).
 
 
- An organization closes its workspace and members continue individually
- At the request of the responsible person, our team will transfer each member’s records to their individual workspace.
- For shared or archived records, a designated owner must be assigned to ensure proper retention.
Process steps
1. Authorization
Before any transfer, a written authorization from the organization’s responsible person (or clinical director) is required.
This step ensures that records belonging to the organization remain in place and that only records owned by the practitioners are transferred to their individual accounts.
2. Verification of records to transfer
Before the transfer, the practitioner must:
- Confirm that all records belonging to the clinic have been moved to another account within the organization
- Make sure that only records they own remain to be included in the transfer to their individual account
3. Transfer planning
Once the accounts are ready, our team will schedule the transfer at a time that works for you. No further action is required on your part; our technical team will handle the process.
Data included in a transfer to an individual account
In addition to client records, the following items are included when moving from an organizational workspace to an individual account.
- Global financial portrait: fully transferred (revenues related or unrelated to records, expenses, etc.).
- If the organization closes completely, each member receives their own financial profile.
- Invoices for deleted records: transferred but detached from the deleted record.
- Invoices in shared records: only invoices created by the practitioner are transferred; invoices created by other members remain in their respective accounts.
- Appointments: all past and future appointments are transferred.
- Memos and tasks: transferred, including those not linked to a record.
- Header and footer: settings in the individual account are retained.
- Work schedule: copied only if no schedule is already set in the individual workspace.
