What information is included in a record transfer?

When you transfer a record to a colleague, some information is always included, some can be optionally selected, and some is never transferred. Here's a clear breakdown of what's included and what's not.

Always included in the transfer

The following items are automatically transferred with the record:
  1. General progress notes and documents
  2. Draft notes
  3. Record details (title, number, opening date, email address, reason for consultation, etc.)
  4. Profiles linked to the record

Optional information (included based on your choice)

During the transfer, you can choose whether to include:
  1. Confidential notes and documents
  2. Raw data

Not included in the transfer

The following items are not transferred with the record:
  1. Invoices
    1. Invoices remain visible only in the archived copy if you choose to keep one
  2. Past and upcoming appointments
    1. Upcoming appointments are cancelled, and the client receives an email notification
    2. If the record is shared, each collaborator retains their own appointments
  3. Tasks and memos
    1. These are permanently deleted from the record

Additional notes

  1. Transferred progress notes will appear in the Progress Notes tab of the new user’s account.
  2. If you select Keep an archived copy in my account, a read-only version of the record will be stored in your archives.
    1. This copy includes:
      1. All information added before the transfer
      2. Any information you chose not to transfer
  3. If you do not keep a copy, any excluded information will be permanently deleted.
