How does note approval work?

Psylio allows supervisors to review and approve notes written by a supervised user, such as an intern or doctoral student.

The supervised user must be part of your group organization in order for their notes to be approved.

Share a record with your intern or doctoral student

To use note approval, the supervisor must first share the record with the supervised user.
  1. Create the records.
  2. Open the record, then click the action menu (three dots) under the record title.
  3. Select Share.
  4. Enter the intern’s name in the search bar, then select the correct person.
  5. Choose the desired access level next to their name: Write or Full access.
  6. In the Other actions section of the modal, enable Require approval for notes.
  7. Click Save.


Once the record has been shared, the supervised user will receive an email notification.

Submit and approve a progress note

When the intern or doctoral student submits a progress note:
  1. The supervisor receives an email indicating that a note requires approval.
  2. The supervised user sees the status Pending approval on the note.
  3. The supervisor sees the status To approve on the note.


The supervisor can then open the note, review it, and click Approve.

Once approved, both signatures (the supervised user’s and the supervisor’s) appear in the footer of the note when printing or exporting it as a PDF.

Approval notifications are sent only when the note is submitted. Notes saved as drafts do not trigger approval requests.

View signatures

  1. Open the action menu (three dots) to the right of the progress note.
  2. Select Print.
Psylio will generate a PDF containing the note information and associated signatures.
