How can the coordinator transfer records?
The coordinator can transfer one or multiple records from one advisor to another. These transfer options are available in the action menu (the three dots) next to each advisor's name.
Transferring all records
You can choose to transfer all confidential records, institutional records and raw data from the advisor’s account, or a combination of these types.
Transferring a single record
To transfer a single record, use the search tool and enter the record name (which you'll need to know in advance). Then, select the specific sections you wish to transfer, such as progress notes and documents, confidential notes and documents, and raw data.
Transferring a pending record
The coordinator has an overview of all records pending transfer across the organization. On this page, you can view the record number and title (unless the record is confidential), the name of the owner who initiated the transfer, and the name of the advisor to whom it is being transferred. You have the option to cancel a pending transfer or reassign it to another advisor. To do so:
- Click the action menu located to the right of the pending record.
- Select the desired action.
- Cancel a transfer: The record will automatically return to the original owner's account.
- Reassign a record: A window will open, allowing you to select a new recipient for the record.
The coordinator can also transfer shared records. In such cases, the record will remain shared with invited collaborators, who will retain their previously granted access rights.
